Why batch reconciliation matters
Individual payments are easy to trace. Batches are not. A single payment run in a Dubai contracting operation might cover 15–40 vendor bills across multiple projects. Without a reconciliation step, you lose the ability to answer basic questions: which bills were included? Were all bills approved before payment? Did the total match?
The rule is simple: every payment batch must reconcile to its source bills, and every bill must reconcile to an approved PO.
The reconciliation checklist
Before marking a payment batch as complete:
- Match batch line items to individual bills by bill reference
- Confirm each bill has an approved PO or approved direct-spend justification
- Verify the batch total equals the sum of matched bills
- Flag any bill that was modified after approval (check audit logs for post-approval edits)
- Record the reconciliation result — pass or exception — against the batch record
Handling exceptions
Exceptions are normal. A bill amount might differ from the PO due to a variation order, a partial delivery, or a currency adjustment. The point is not to prevent exceptions but to make them visible.
For each exception:
- Record the variance amount and reason
- Require a secondary approval if variance exceeds your threshold (use your approval matrix)
- Attach supporting evidence (variation order, credit note, GRN discrepancy)
Keep the trail defensible
A reconciliation without evidence is just a checkbox. Store the reconciliation output — matched lines, exceptions, approver — as an auditable record. If your finance team uses vendor payments in Gestio, the batch record already links to bills and POs. The reconciliation step closes the loop.
