Contract document control basics (UAE): what to store and why

A practical contract document control baseline for UAE/Dubai teams: what to store, how to version changes, and how to keep evidence retrievable during disputes.

    This is not legal advice.

It is operational guidance: how to keep contract documents retrievable and defensible when disputes and audits happen.

    Start here:

    What to store (practical baseline)

    At minimum:

    • Signed contract / agreement PDF
    • Any addendums or amendments
    • Supporting evidence (scope, pricing, approvals) as attachments

If amendments are common, treat them as versions with explicit change summaries.

What to version (and what not to overwrite)

    Overwrite is a trap.

If you overwrite the original contract PDF, you lose the ability to answer:

    • what did we sign originally?
    • when did it change?
    • who changed it?

    Instead:

    • keep version history
    • capture change summaries
    • keep timestamps explicit
